VCD Nepal, a licensed Nepal-based not-for-profit volunteer organization, enforces the following cancellation policy and terms for volunteer placements:

Cancellation by Volunteer:
* 60 days or more before the placement: Loss of deposit (30%)
* 30 days before the placement: Loss of total payment (50%)
* 7 days before the placement: Loss of total payment (75%)
* No refunds if a volunteer leaves after the placement has begun.

Cancellation by VCD Nepal:
* VCD Nepal reserves the right to cancel any placement before it’s guaranteed to run.
* If VCD Nepal cancels a guaranteed placement, a 100% fee refund is issued, or volunteers can opt for an alternative placement of equal value without extra charge.
* VCD Nepal may cancel any placement before departure due to reasons beyond its control, refunding only the placement fee.

Other Expenses:
* VCD Nepal is not liable for expenses related to personal travel insurance, visa, passport, vaccinations, international flights, airport taxes, extra meals, accommodation, laundry, medical expenses, personal items, emergency evacuations, searches, tips, excess baggage charges, or any services not included in the itinerary.

Booking Conditions:
* A 30% non-refundable booking deposit is required for every volunteer placement.
* Final payments are due upon arrival in Kathmandu.
* A 3.5% charge applies to credit card payments.

Amendments & Cancellations:
* Fees may apply for amending placements.
* Changes may impact the placement price.
* Administration fees apply for amending other arrangements made with your placement booking.
* Changes within 7 days of placement commencement may not be possible.

Insurance & Documentation:
* Travel insurance, including medical coverage, is mandatory.
* VCD Nepal recommends cancellation insurance.
* Valid passports and appropriate visas are required.

Risk Acknowledgment:
* Volunteers assume personal risk and flexibility in accepting changes to placement details.
* Volunteers accept the authority of the placement coordinator.
* VCD Nepal contracts with third parties; it is not liable for their actions.

Legal Compliance:
* Volunteers must comply with the laws and regulations of visited countries.
* Conditions can only be altered by the company head or director.
* This agreement is governed by Nepalese law.

Exclusions:
* Placement prices may not include personal travel insurance, visa, passport, vaccination charges, international flights, airport taxes, extra expenses not in the itinerary, laundry, medical expenses, personal items, emergency evacuations, searches, tips, excess baggage charges.
* The placement cost covers transfers to and from the destination airport(s).
